The Office of University Events exists to guide your organization through UK’s event submission process. Let our team assist you by identifying on and off campus vendors and let our production specialists take your event to the next level with light shows, sound systems, and unparalleled service and technical knowledge! 

It is important to understand you are submitting a REQUEST for events and/or space. Reservation of space and event approvals are not guaranteed for every request. Requestors may receive two confirmations (one for space and one for event approval) if the space requested is not managed by the Office of University Events.

Please submit all requests two weeks in advance of the event date. Any event requiring catering should utilize UK Catering. For more policy details and guidelines, please visit the University Events Policies page.

Yard Sign Approval Process

A Temporary Yard Sign Request must be submitted and approval received before placing temporary signage on campus. After reviewing the guidelines, please submit your Yard Sign for approval. Items should be submitted at least 10 days prior to placing.

Common Questions

How can I utilize the tables in the GSC common area?

Apart from the room options, we offer three tabling locations in the Gatton Student Center. This area can be found around the Social Staircase on the 2nd floor. 

How do I schedule a space inside the GSC?

Use EMS at https://meetatbigblue.uky.edu/, the University Events event scheduling software, to book space in the Gatton Student Center. Within this system, clients can search for available spaces and request additional services (furniture, AV needs, etc.)

Does GSC provide Tables and Chairs?

Yes. To discuss your setup needs, please consult your event manager.

Check with the front desk staff to help assist with connection issues. 

Blue Box Ticketing

The Student Involvement Box Office manages ticketing needs for a number of on-campus events, organizations, and venues (excluding Athletics, UK Opera Theatre, UK Theater, and Singletary Center events).

The Box Office also acts as a collection hub for DanceBlue donations, DanceBlue dancer fees, Alternative Service Break program fees, and other program and registration related fees.

What is not considered an event?

Regularly scheduled meetings that are closed to UK organizations and/or departments and which do not use internal or external vendors or presenters, NCAA games and practices, and activities that take place at Agriculture Extension Offices.

Who can sponsor an event or meeting?

The University Administrative Regulation (AR 9:1, AR 9:2) limits sponsors of events to university units, officers or registered student organizations, and select alumni groups.

What is the difference between event approval and space approval?

All events on campus are required to be submitted in EMS in order to obtain event approval from the University. For spaces that are managed outside of the Office of University Events, space approval will come from the Facility Coordinator. For spaces managed by University Events, you will receive both event and space approvals.

What is an Event Manager?

An Event Manager works within the Office of University Events. Their main responsibility is to guide clients through the event approval process. If the space that is being requested is managed by the Office of University Events, then the Event Manager will also become the Facility Coordinator.
