About University Events

As the campus hub for event planning and management, the Office of University Events exists to guide your organization through UK’s event submission process. In addition to securing space and advising on program design, event managers are trained to also assist in the coordination of service providers. Let our team assist you by identifying on and off campus vendors and let our production specialists take your event to the next level with light shows, sound systems, and unparalleled service and technical knowledge!  Submit an event request to begin your journey with us! Requesting an Event Space

  • Requests for Fall 2023 meeting and tabling events are now open. Spring 2024 meeting and tabling requests open on December 1st. 
  • As of Fall 2021, a new policy from the Dean of Students Office went into effect regarding all activities and events hosted by registered student organizations. This policy outlines the requirements for all student organizations to follow when hosting events of any kind on or off-campus. Find full information on the policy here
  • Request forms are assigned by group type.  Seeing the link to a request form does not guarantee access.  
  • Event requests must be submitted at least two weeks in advance.  For meeting requests, select your assigned request form to see booking rules.

Important Information

It is important to understand you are submitting a REQUEST for events and/or space. Reservation of space and event approvals are not guaranteed for every request.

Priority is given to academic courses. Event space requests will be confirmed after the following dates when scheduled in academic classrooms: December 1st (spring request dates), April 1st (summer request dates), and May 1st (fall request dates).

Requestors may receive two confirmations (one for space and one for event approval) if the space requested is not managed by the Office of University Events.

Production Services

Production Services provides sound, lighting, and video projection support for all kinds of events on campus, both large and small. From concerts to lectures, movies to plays, fashion shows to press conferences, and everything in between, we provide the technical support you need to make your program a success. Each event is different and has individual needs. For prices, please contact your Production Manager or the University Events Production Team to discuss what we can provide for your event and provide an accurate cost estimate.



Blue Box Ticketing

The Student Involvement Box Office manages ticketing needs for a number of on-campus events, organizations, and venues (excluding Athletics, UK Opera Theatre, UK Theater, and Singletary Center events).

The Box Office also acts as a collection hub for DanceBlue donations, DanceBlue dancer fees, Alternative Service Break program fees, and other program and registration related fees.

UKY catering is a service we offer campus wide for events. Our #1 goal is to ensure our students and visitors are feed with the best quality food, for a satisfied and delicious experience. 

Please note, ALL Gatton Student Center events must be served by UK catering.

Am I required to get my event approved if I didn't reserve space with the Office of University Events?

Yes. All events on campus are required to obtain approval through the Office of University Events before they can be promoted or space can be confirmed.  As of January 15, 2021, all off-campus student organization events also require approval.

How do I schedule a space inside the GSC?

Use EMS at, the University Events event scheduling software, to book space in the Gatton Student Center. Within this system, clients can search for available spaces and request additional services (furniture, AV needs, etc.)

Does GSC provide Tables and Chairs?

Yes. To discuss your setup needs, please consult your event manager.
